Financial Planning Assistant, Core Financial - Venice, CA
Our office seeks a
high-level Financial Planning Assistant to support one of the top financial
planning practices in the industry.The ideal candidate is well rounded, has exceptional organizational skills and the ability to multi-task in a fast-paced environment. This candidate must be dependable, meticulous and possess the confidence necessary to communicate with clients in a caring and articulate manner.
We are a boutique
financial planning firm located that specializes in creative tax planning and
asset management for the affluent small business owner market. Our office
maintains a non-corporate and friendly atmosphere.
The duties and
responsibilities of the position include, but are not limited to:
Client Service
-
Provides phone support and accurately performs daily service and cashiering services for clients while adhering to strict compliance and regulatory guidelines
- Greets clients,
offers and prepares beverages, provides Concierge Services as necessary

Prepares, submits, tracks and troubleshoots all client and new business account applications
- Facilitates mortgage, pension administration, small business loan requests and other key document submissions
- Copies, scans, faxes and files documents for benefit of clients
- Performs drafting and typing of client correspondence as required
- Retrieves, filters, and logs postal mail
- Books travel and
conferences for advisors

Coordinates all billing and invoicing to ensure timely collection of all fees
- Works with external bookkeeper(s) and accountant(s) to ensure timely payment of bills
- Works with Operations/Executive Assistant to manage all human resources needs for the practice (insurance, employee forms, files, etc.)
- Organizes and helps
manage general office environment including ordering supplies, food, etc.

Plans and coordinates client and marketing events
- Supports all marketing and business development activities of the practice (print, media, etc.)
- Works
with staff to design and prepare presentation materials, deliverables (print +
electronic)

Exceptional organizational skills and attention to detail
- Excellent verbal and written communication skills
- Ability to prioritize and perform multiple tasks in a dynamic, fast-paced environment
- Ability to delegate and efficiently collaborate with team to ensure timely execution of daily tasks
- Strong computer skills (MS Word, Excel, ACT! and electronic services)
- Pleasant, professional, and confident phone and personal demeanor
- Polished presentation
- Strong client service orientation
- At least two to five years of administrative experience
- Financial services industry experience a plus
- Hours of operation: 8am – 5pm or 9am – 6pm with flexibility
- Salary Range: $35,000-$40,000 with bonus potential, insurance stipend and Retirement Plan
- Minimum education requirement – Bachelor’s Degree
- Basic bookkeeping experience a plus
