Los Angeles-based Asset Manager seeks Director of Investment Operations to oversee internal and outsourced investment operations for a $10B firm.  Role will focus on the overall investment production process and relationship management with vendors, including development, implementation, and documentation of policies and procedures that influence middle/back office functions.  Will also help evaluate, plan, develop, and implement firm-wide investment support platform.  The Director of Investment Operations will be expected to suggest improvements to job procedures, workflow and efficiencies and should provide associates with assistance, training, and instruction.  The right candidate will be responsible for working with the Chief Administrative Officer to organize and track large scale, complex projects involving multiple internal and external partners.
RESPONSIBILITIES:
  • Manage and oversee relationship with outsourced providers and vendors to solicit optimal performance; monitor the performance and delivery of services (based on our contracts and service level agreements)
  • Oversee internal and outsourced valuation, settlement, and daily/monthly reconciliation o positions, cash, and trades with counterparties, agent banks, and custodians; review and assess production for quality results.  Identify outliers and coordinate with outsourcing provider to correct any anomalies
  • Provide assistance to end-users of accounting data through the resolution of routine and complex problems due to advanced understanding of inter-locking relationship of securities accounting data to other systems within firm
  • Manage production and delivery of monthly/quarterly reports and client statements
  • Act as subject matter expert for systems related to investment production support; attend due diligence meetings as required
  • Analyze technical/business problems of medium-to-high complexity
  • Act as central point of contact for firm’s internal team and outsource provider to help resolve outstanding operational issues
  • Help drive technology initiatives to support solving business problems
  • Recommend enhancements to procedures and workflow to provide efficiencies
  • Provide training and instruction of job procedures to associates
  • Responsible for assisting staff with resolving discrepancies and outstanding issues
  • Act as key point of contact for client areas seeking information and requesting ad hoc, as well as standard reports
  • Lead design of documentation, implementation, and enforcement of investment operations and data management policies and procedures
  • Contribute to the coordination, management, and execution of multiple investment support projects
  • Collect and document project requirements, specifications, business processes, and recommendations
  • Manage detailed open items and project lists, tracking all deliverables and timelines across multiple functional areas
  • Ensure that issues are identified, tracked, and reported on /resolved in a timely manner
  • Follow-up/report regularly to project sponsors and senior leaders, escalating issues as necessary
  • Perform, support, and monitor ad hoc and special requests
  • Provide backup coverage to support staff as needed
  • Provide periodic updates to management through reports and face-to-face meetings
REQUIREMENTS:
  • Bachelor’s degree + 7 or more years of previous middle and/or back-office investment support experience
  • Strong understanding of, and hands-on experience with, middle/back-office investment operations, including: trading support and workflow, reconciliation procedures, settlements, corporate actions, pricing, proxy voting, client reporting, cost basis concepts; must be able to demonstrate understanding of concepts behind policies and procedures
  • Experience working with various security types, including equities (both international and domestic), fixed income, mutual funds, closed-end funds, ETF’s and other alternative funds
  • Demonstrated ability to build strong working relationships with multiple stakeholders and across organizational functions
  • Knowledge and experience with change management concepts; experience optimizing workflows and processes, including strategically re-shaping an environment
  • Experience managing third-party vendors, including contracting
  • Critical thinking ability with an eye for detail
  • Excellent research skills and problem solving capabilities
  • Self-motivated manager with ability to work independently as well as in a team environment
  • Proficiency with MS Word, excel, and PowerPoint; Visio and Project are not required, but a plus
